What’s inside

The office work,
off your kitchen table.

Six kinds of paperwork every remodeler deals with, in the app you already use for estimates, contracts and invoices.

01

Closeout

Finish the job on paper, too. Walk the job with your client, sign off what’s done, and hand over a package that makes you look like the pro you are.

  • Punch list, signed on the walkthrough. What, where, who and by when. Once signed, the list is locked; anything added later is marked.
  • Substantial completion. Sign it while small items are still open. They’re listed with due dates and closed out later, dated.
  • Limited warranty certificate. Your terms, 1 year on work, 2 years on systems, 10 years on structure by default, with notes for states that set their own.
  • Handover package in one PDF. Completion and warranty, the work done, finish selections, a care guide for this job’s materials, permits and inspections, who worked on site, before and after photos, the punch list.
  • Warranty claims. Covered, not covered or goodwill. The visit, the fix, its cost on the job, and the client’s sign-off.
  • Excel sheets. The punch list and warranty claims in your Excel export.
02

Get paid without lien risk

Waivers that match the money. The right waiver goes out with the right payment, so nobody waives rights they shouldn’t and the owner gets clean paper.

  • Lien waivers. Conditional and unconditional, progress and final, with the through date, the amount and retainage. Conditional goes with the invoice, unconditional after payment, final with Paid in full.
  • State waiver forms, word for word. The statutory forms of California, Texas, Arizona, Nevada, Michigan, Georgia, Mississippi, Utah, Wyoming, Missouri, Florida and Massachusetts.
  • Waivers from your subs. Ask by link, they sign on their phone, and the waiver is kept next to their COI and W-9.
  • Final payment affidavits. Florida’s final payment affidavit, the Texas bills-paid affidavit, Michigan’s sworn statement, and the Ohio and Illinois affidavits.
  • Wisconsin lien waiver notice. The notice of the right to lien waivers, ready to give.
  • Notices of commencement and completion. California, Arizona, Nevada, Utah and Wyoming, and Florida’s Notice of Commencement and Notice of Termination. You prepare them; the owner records them.
03

Before the job

Get the paperwork right before the first swing. Pick, agree and document the starting point, so the job starts clean and the arguments don’t.

  • EPA lead-safe (RRP) for homes built before 1978. The Renovate Right receipt, signed, mailed 7 days ahead or a tenant’s refusal; the recordkeeping checklist with the cleaning check; a copy for the client with the final invoice; kept 3 years.
  • Selections, signed by the client. By category and allowance, with pick-by dates. Going over the allowance turns into a change order right away.
  • Site rules. Hours, access, dust, pets and parking in a short agreement your client signs before you start.
  • Condition report before work. Photos and notes of what was already there, signed by the client.
  • Permits and inspections. Permit number, who pulls it, inspection dates. The final inspection goes into the completion papers and the handover package.
04

On the job

Everything on site, signed on site. Keep the record as you go, get extra work signed where it happens, and give your client one place for everything.

  • Daily log in one tap. Crew, hours, work done, deliveries, delays and photos.
  • Time and materials sheet. Your client signs it on site; one tap turns it into a change order or an invoice.
  • Subcontract agreement. From a template: insurance, additional insured, payment and waivers. Your sub signs by link.
  • Purchase orders. To your suppliers and subs.
  • Client page. Every document of the job at one link: contract and change orders, invoices, receipts and payment links, selections to sign, completion, warranty and the handover package.
05

Books

Your books, without a bookkeeper. Connect your bank once. Every dollar lands on the right job and the right tax line, and the reports are ready when you need them.

  • Bank and cards connected. New transactions come in once a day.
  • Sorted for you. AI suggests the Schedule C line and the job; you confirm the ones it isn’t sure about. Rules handle the ones that repeat.
  • Matched with your jobs. Client payments and job expenses already in RenoStride aren’t counted twice.
  • Reports. Profit by month, quarter and year; profit by job; a Schedule C summary; a mileage log at the IRS rate for the date of each trip; a quarterly tax estimate; owner contributions and draws.
  • 1099 list. Subs you paid $2,000 or more, with their W-9 status, ready to export.
06

Automations

The reminders and records that run themselves. The follow-ups you never get to, sent on time in your name, and the deadlines nobody can afford to miss.

  • Payment reminders, from you. To your client 3 days before the due date, on the day, and 3 and 7 days late. Also for estimates and change orders waiting to be signed.
  • Deadline calendar. Lien deadlines on every job by your state’s rules (preliminary notice and the last day to file), quarterly taxes, 1099 and W-9, your license, insurance and bond renewals, your subs’ insurance, warranty end dates.
  • Signature certificate. For every signed document: who signed, when, on what device and from where, the email and phone it went to, and the document’s fingerprint. We keep a copy.
  • COI and W-9 from your subs by link. And a new certificate of insurance asked for 30 days before the old one runs out.
  • Accountant package in one click. Profit, Schedule C, profit by job, 1099s with W-9s, mileage, receipts and the year’s signed contracts.
  • Ask your numbers. Ask in plain words about your jobs and your books.

Questions

Good to know

What happens when I cancel?

Back Office stays on until the end of the period you paid for. Then it turns read-only: everything you made stays in the app and in your Google Drive, you can still open, save and send your documents, and the Excel export always works. The rest of RenoStride keeps working as it does now.

Can I switch to yearly?

Yes, anytime. Open Manage subscription and pick the yearly plan: $390 a year, two months free. What’s left of your month is credited.

Is my data mine?

Yes. Your jobs, documents and books live on your device and in your own Google Drive, like everything in RenoStride. Signed PDFs are yours to keep, before and after you cancel.

Do I need Pro?

No. Back Office works with the standard RenoStride. Photos inside its documents (punch list, handover package, daily log, condition report, warranty claims) come with Pro, like photos everywhere in the app.

When am I charged?

On your first Back Office subscription, not today: the free trial lasts 14 days, and your first charge is on the day it ends. Cancel before then and you pay nothing.

Is the free trial for everyone?

It’s for the first Back Office subscription on an access code: one free trial per code. If you had Back Office before and start it again, your first charge is the day you start.

How do I cancel?

Online, anytime: Manage subscription on this page, or in the app under Settings › Back Office. No calls, no forms.

Is this tax or legal advice?

No. Back Office is a tool. You’re responsible for your books, your tax returns and the documents you send. Check state forms and deadlines with a professional.

Hand the paperwork to Back Office.
